Hillside Animal Hospital is looking for a practice manager for our 5 doctor companion animal practice located in beautiful La Crosse, WI. The manager at Hillside Animal Hospital will be the leader directing daily operations and providing valuable oversite. The hospital manager works collaboratively with the owner to make operational decisions and implement them while ensuring exceptional patient care and superior client service are achieved. Hillside Animal Hospital is seeking a candidate that motivates a team through leadership, inspires growth and development while fostering an atmosphere based on team work and trust. Strong attention to detail, a sense of humor and desire to build a fun work environment are essential. Responsibilities include staff, inventory and financial management as well as community outreach and client services.
Publicize open staff positions and screen applicants
Prepare training schedules for all positions
Maintain personal files for each employee
Prepare staff schedules to provide appropriate coverage in all areas at all times. Manage staff scheduling conflicts, and absences
Establish inventory control system to assure adequate stocks of supplies are available.
Assure that ordered supplies are received, properly invoiced and securely stored.
Supervise complete inventory count as needed for tax purposes
See that our financial information is uniform with AAHA standard chart of accounts
Insure that accounts payable are correct and are paid on a timely basis
Prepare payroll checks
Prepare Federal withholding tax payments following each payroll
Prepare Wisconsin State withholding deposits bi-monthly
Prepare Wisconsin Use & Sales Tax deposits monthly
Prepare monthly cash flow statement, income statements, profit-loss statements with the assistance of accountant.
Handle Group Health Insurance plan enrollment and changes
Consult with the hospital’s accountant to obtain advice regarding financial management and tax reporting.
Develop budget estimates and revisions utilizing knowledge of the functions and requirements of hospital.
Supervise the updating for fee schedules and materials required to quote fees and make estimates for clients
Establish internal operating procedures for administration of the practice to ensure accuracy and completeness of veterinary records and reports, format and compliance with the accepted hospital practices
Advise owner on the formulation and development of corrective actions necessary to improve the effectiveness and profitability of the practice.
Initiate new programs, market hospital services through public relations campaigns, establish in-service training for staff.
Conduct Staff meetings and facilitate team meetings with team leaders
Maintain Training and retraining schedules and facilitate training for all teams.
Advise owner about issues dealing with compliance with OSHA, DEA, and EPA
Coordinate our involvement in any community activities to insure that we present ourselves to the best advantage
Coordinate the development of internal promotional materials.
Monitor how new patients come to us to determine the value of different methods
Coordinate any external promotional campaigns
Prepare client communication through reminder cards, client letters, surveys and account receivable
Monitor patient records and invoices to insure completeness and accuracy
Address client concerns
